Your Travel Advisor
At Royal Travel, everything we do is customized to the individual traveler – nothing is “off the shelf.” Royal Travel has a team of experts with specialized knowledge that covers all corners of the planet. As such we want to make sure our clients are paired with the advisor that best meets their individual needs and wants. As a collaborative team we are constantly sharing our insight with each other behind the scenes to ensure our clients benefit with the best experience. For new clients, we will request they complete a brief form so we can add their traveler information to our database. After that we will request a “get to know you” call to discuss the specific trip they want to plan. This will allow the advisor the opportunity to better understand the traveler’s unique preferences, travel style, preferred hotel brands, travel budget and any other details to help the advisor plan the most rewarding trip possible. In some cases, clients have asked to work with multiple advisors at our agency based on the specific trip they are planning. We support working with clients in whatever way they prefer, with the shared goal of making sure they have the best travel experience.
Itinerary Development
Royal Travel takes great care to talk to you about what you envision for your ideal trip — taking into consideration your wish list, budget, time constraints, how active you want to be and ultimate desires — to craft a journey that exceeds your expectations. Your dedicated advisor will research and develop an itinerary, suggesting ideas, inspiration, and insider tips. We present you with an initial plan to review and then continue to work with you to fine tune every detail until you are presented with your optimal trip.
Trip Confirmation
Working with Royal Travel means every detail of your trip will be managed with utmost care, whether it’s a night away or an extended vacation. We are specialists at securing flights, hotels and resorts, private and group tours, boat charters and transfers, and can provide additional concierge type services such as dining reservations, spa appointments, event tickets and more. Our advisors will discuss our fee structure to ensure that you understand our pricing and what is included.
Review & Departure
Working with Royal Travel means you are supported through every step of the travel planning process as well as the actual trip. Every itinerary — whether it’s a weekend getaway or a month-long journey — is carefully reconfirmed before your departure. We will review your itinerary with you as well as provide you with access to our dedicated mobile travel app that contains all of your specific trip details with live updates on your mobile device.
During and After Travel
Even when the perfect trip has been planned, there will be times when unexpected events arise that are beyond our control. When this occurs, we will be there to provide assistance and support to help get your vacation back on track. When you return, we encourage you to share your experiences and feedback with us so that we can get to know you and your preferences better for future travel planning. This also helps us learn what’s working or not at the various properties and destinations, and we can follow up on your behalf if there were any issues.
Terms & Conditions
Travel Planning Fees
Booking with Royal Travel includes many perks you would not be able to secure on your own. Our travel advisor team includes nationally recognized experts who have unique insight, connections and knowledge on a destination, and our clients receive many value-added amenities that they would not receive booking on their own. After our first assessment call with a client, we charge a planning fee to begin the research, planning, and execution of the trip. This fee is separate from the cost of the trip and is non-refundable. Royal Travel reserves the right to charge additional travel planning service fees if you change parameters of the trip (destination, budget, date, number of travelers, etc.) or request additional services that were not agreed upon at the initial consultation. Availability and price quotes are applicable to the date and time at which they are requested and cannot be guaranteed until payment is made. Quotes in a foreign currency fluctuate with exchange rates and international payments may carry a foreign transaction fee.
Hotel Only Booking
Hotel only booking: No fee
Hotel only booking that requires comparisons and rates/availability research: $100+
Hotel booking that requires additional concierge level services: $150+
Custom Travel Planning
Custom travel planning per destination: $250+
Custom travel planning over the festive holiday season: $250+
Custom travel planning when travel is less than 30 days from departure: $250+
Cruise and Package Bookings
Cruise or air-plus-hotel or land only package bookings that require no additional travel planning services: $50/booking
Cruise or package bookings that require additional travel planning services: $50/person
Air Booking Costs
Domestic air (per ticket): $50
International air (per ticket): $100
Additional Costs
Changes to any confirmed group or leisure booking: $100+
Cancellations to any confirmed leisure booking: $100+
Cancellations to any group booking: 10% of total package
Destination Restrictions
Destination openings are pursuant to current health and safety restrictions and protocol. Accommodations, activities and services proposed in any itinerary are operational at the time of proposal. Royal Travel and their partners follow all local health and safety protocol. In the event of any closures or service interruptions (or disruptions) during time of travel, we will work to provide alternate options at the same level of service and quality as originally planned.
Price Fluctuation
Once purchased, U.S. air transaction prices will not increase, except for potential charges resulting from government-imposed taxes or fees. Certain suppliers reserve the right to increase prices to cover increased costs, fuel surcharges, tariffs, and taxes, and to reflect fluctuations in foreign exchange markets.
Flight Confirmation
Flight confirmation is subject to availability and prices are subject to change after the date of deposit, including price increases in the fee for a seat assignment, fee or baggage, applicable fuel surcharges, or an increase in government-imposed taxes or fees. Passport copies are required to confirm international air reservations. Correct legal names that match identification to be used for travel must be provided to Royal Travel. Name changes are not permitted on airline tickets. Clients are responsible for providing accurate information on the client travel profile form. Royal Travel is not responsible for costs incurred by incorrect information provided for travel planning including reservations and airline tickets.
Travel Protection
Royal Travel offers many optional products and services to enhance every travel experience. One critical component is traveler insurance, which helps protect our clients and their travel investment. Travel insurance is not automatically included in the cost of a trip. We recommend travelers always purchase travel insurance and will quote it to protect clients in the case of a covered reason such as trip delay, trip interruption, trip cancellation, emergency medical expenses, baggage loss, baggage delay, and more.
Travel Documentation
Travel documents, including passports, visas, and health/vaccination certificates required are each client’s full responsibility. Valid passport books are required for all international destinations and the expiration date should be at least six months following the return date of your trip. Some countries require that your passport have two to four blank visa/stamp pages. Some airlines will not allow you to board if this requirement is not met. The U.S. Transportation Security Administration (TSA) and the U.S. Department of Homeland Security (DHS) advise that everyone carry at least two forms of acceptable identification in order to board a flight. The name, date of birth, and gender that appears on the identification card must exactly match the same data that is listed on airlines ticket(s) and booking records. Visit the USA State Department website on a regular basis for information regarding incidence of disease, terrorism, safety issues, crime, the need for travel documentation (such as passports, visas, proof of health/vaccination certificates), health hazards and other restrictions regarding travel to your domestic/or international destination(s) and re-entry into the United States. Required or advised inoculations you decide to obtain upon the advice of your personal physician may need to be administered in a series of doses months ahead of your planned departure and such time element should be taken into account by you when making deposits and/or nonrefundable final payments.
